Procurement Officer
1. Execute all procurement function to ensure that the highest quality products are purchased at the best possible price
2. Assist the Department Head in managing the RFP and bid process; obtaining bids from vendors according to the specifications set by the standards and/or corresponding department head; determining the best possible price for the desired items; and placing orders for all equipment, material, and supplies
3. File and maintain all requisitions and purchase orders
4. Assist the Department Head in identifying premium suppliers of equipment, supplies, and materials and negotiating with them to reach the best possible terms
5. Maintain and update vendor accounts and details
6. Upon the Department Head instructions, prepare and activate all letters of credit (L/C) with vendors and follow-up with the related parties to ensure proper delivery of documents
7. As directed by the Department Head, execute all procurement activities
8. Prepare internal specifications and assist departments in obtaining specifications, quotations, delivery terms and costs and recommend substitute materials where economies can be realized or delivery improved
9. In coordination with the Department’s Head, interview vendor representatives and maintain vendor contacts and bidders’ list
10. Perform all administrative work of the Procurement function
11. Prepare import/export documents in accordance with established procedures and guidelines
12. Check shipping invoices for accuracy
13. Handle issues with customs officials, and escalate to the Department Head as necessary
14. Track and report to the Department Head on materials purchased, shipping methods, delivery schedules, delays, problems, and other related matters
15. Ensure proper and timely delivery of needed materials to the designated warehouses
