Position Summary

Under the general direction of the Senior Clinical and Faculty Affairs Specialist, provides support for the faculty appointment cycle and will be expected to assist with other activities as required. This position requires strong oral and written communication ability to properly represent WCM-Q and support current faculty members and candidates.

Job Responsibilities

  • Coordinates faculty recruitment activities: managing web postings, liaising with agencies, processing invoices and cost allocation, preparing background materials, and supporting the academic hiring unit in other tasks as required.
  • Responsible for faculty data including keeping accurate, current data on faculty and clinical affairs; identifying data requirements and resources; providing analysis of faculty data; developing reports; and acting as a resource for other divisions.
  • Develops content for and maintains WCM-Q Clinical and Faculty Affairs website, the Intranet, and the portal for affiliated faculty.
  • Coordinates the organization of office activities, including new faculty orientation, promotion, and other seminars and for collecting and tabulating relevant assessment surveys.
  • Responsible for ensuring that the Office complies with the records management policy: creates and maintains files for applicants and appointed members.
  • Maintains the appointments filing systems, both paper and electronic, and ensures files are disposed of in accordance with the policy.
  • Coordinates the academic appointment, reappointment, appraisal, promotion and termination processes of WCM-Q based faculty and non-faculty academic staff.
  • Prepares employment and appointment forms, reviewing CVs and monitoring timely submission of documentation.
  • Contributes to the initial review of assigned applications received from affiliated physicians applying for junior faculty ranks.
  • Provides feedback to the applicants and edits application dossiers to ensure that they comply with the WCMC faculty appointment and promotion requirements prior to submitting the applications to the Screening Committee for assessment.
  • Writes evaluation letters for assigned candidates.
  • Manages all aspects of the Qatar Medical License (QML) processes, including initial application and reappointment for WCM-Q-based faculty, ensuring compliance with the Qatar Council of Health Practitioners (QCHP) criteria.
  • Acts as the Liaison Officer to the QCHP for operational issues. Attends QCHP information briefings, training workshops, and other activities, as appropriate.
  • Responsible for coordinating the submission of applications for hospital privileges for WMC-Q-based faculty and for visiting clinical faculty, ensuring compliance with the criteria outlined by the affiliated hospitals.
  • Assists the faculty in all aspects associated with maintaining their hospital privileges, including identifying required resuscitation courses for their specialty.
  • Participates in other information technology initiatives of the office.
  • Serves as back up for other staff.
  • Performs other reasonable duties as assigned.
